Quote acceptance signing request template

A quote acceptance records a customer's formal agreement to a priced quote, confirming the work, scope and price before it begins.

What is a quote acceptance?

A quote acceptance is a recorded confirmation that a customer has reviewed your quote and agreed to its price and scope. It converts a proposal of cost into an accepted basis for work, giving both parties a clear, dated reference for what was agreed.

For trades, services and sales teams, accepting a quote in writing reduces friction later. It documents the agreed price and inclusions before work starts, which helps prevent disputes over cost, supports invoicing and signals a genuine commitment to proceed.

Pros and cons of sending a quote acceptance as a signing request

Pros

  • Creates a dated record that the customer accepted the price
  • Reduces disputes about cost and inclusions later
  • Quicker than chasing a signed quote by email or post
  • Tracking shows whether the customer opened and accepted it

Cons and things to watch

  • Acceptance covers the quoted scope only, not later additions
  • Variations and extras still need separate agreement
  • A quote may not carry the full terms of a formal contract
  • Prices can lapse if accepted after the validity period

Quote acceptance FAQs

Is accepting a quote electronically legally valid in Australia?

Electronic acceptance is generally recognised in Australia under electronic transactions laws when the customer consents and is identified. Whether it forms a binding contract depends on the terms, so seek professional advice if unsure.

Does an accepted quote count as a contract?

An accepted quote can form part of an agreement, but it may not include all the terms a full contract would. For larger jobs, pair it with clear terms and conditions and seek professional advice.

Will my quote be visible online or to search engines?

No. Cosign sends the quote through a private link to the named customer, and documents are not indexed by search engines. Only the recipient with the link can view it.

What happens if the customer accepts after the quote expires?

If the 14-day request expires, the link stops working and pricing may no longer apply. Send a fresh, current quote so the customer accepts up-to-date pricing.

How are variations or extra work handled?

Acceptance covers the quoted scope only. Additional work should be quoted and accepted separately so the record of what was agreed stays accurate.
